Zoho Books for cabinet makers and cut-and-edge shops: quotes with real items

Send cutlist quotes and purchase orders to Zoho Books as real Zoho items, keep customers in step and get status back, without typing a job into your books twice.

The business problem

Typing every job twice costs more than time

In most cabinet and cut-and-edge shops the quote is built in one place and then typed into the books again. Each retyped line is a chance for a wrong price, a missing edging charge or a customer filed twice. When lines go across as free text, Zoho cannot tell you what sold, stock never moves, and invoicing means picking every item by hand. The fix is not another export file; it is the books receiving the same lines the workshop priced.

From a priced cutlist to your books

Five steps, set up once

  1. 01

    Connect

An Organization Admin signs in to Zoho from Settings → Integrations and accepts its permissions.

  2. 02

    Configure

Choose the direction for customers, suppliers, quotations and purchase orders.

  3. 03

    Link

Link boards, edge tapes, hardware, services and RTA items to their Zoho items.

  4. 04

    Send

Send to ERP on a quote or purchase order; Zoho receives real items and your descriptions.

  5. 05

    Track

Zoho's accepted, declined and invoiced status flows back to the quote.

What goes to Zoho Books, and what comes back

AnyCutlist stays in charge of the numbers: parts, boards, edging, labour, prices and totals. Zoho Books receives the finished documents and keeps the accounts. Nothing is copied wholesale; each record has a clear direction.

Connect Zoho Books and choose what syncs

An Organization Admin connects Zoho Books from Settings → Integrations. Your Zoho region (.com, .eu, .in and the others) is picked up automatically, and if your Zoho login has several organizations you choose the one this workshop uses.

Then click Configure. For customers, vendors and suppliers, quotations and purchase orders, choose Off, Zoho → AnyCutlist, AnyCutlist → Zoho or Both ways; quotes and purchase orders only ever go to Zoho. When a contact is imported, Zoho's details win for the shared contact fields, but your AnyCutlist prices, notes and history are never overwritten.

  • To send quotes for new customers, set Customers to AnyCutlist → Zoho or Both ways.
  • Click Sync Now to import the customers and vendors you enabled. It touches only contacts, never quotes or purchase orders.
  • Older Zoho purchase orders come in through Import historical Zoho POs, in batches you confirm.
  • For status updates, an Organization Admin copies the webhook URL and secret from the connected card into Zoho's webhook settings, one webhook per event.

Cutting, edging and other charges: link by kind, not by board

Cutting, edging, grooving, drilling, CNC and packaging charges change with every job. A cutlist with three boards produces several cutting lines, each with its own board and quantity. You still link them only once, because services link by kind: link the Any unit row for Cutting to one Zoho service, and every cutting line on every quote goes as that service, whatever the board.

Each line keeps its own description, quantity and price, so Zoho shows the same breakdown as your quote and the totals match. If Zoho has a separate item for a unit, such as cutting per sheet, link that unit's row; a unit link wins over the Any unit link.

Grooving - 3 mm back groove, 6.4 mText, until you link Grooving

Units, branches and VAT

If Zoho sells a board by the square metre while AnyCutlist counts sheets, enter how many Zoho units make one of yours when you link it, for example 2.98 m² per sheet. AnyCutlist multiplies the quantity and divides the rate by that number, so the line total never changes.

If you use branches and Zoho has several locations, map each branch to its Zoho location on the Items screen. Quotes from a branch are then sent against its location.

For tax, AnyCutlist reads your Zoho organization's country and VAT registration and sends only what that Zoho edition accepts.

Send a quote to Zoho Books

Office staff, Managers and Admins can send a quote. Before anything goes, AnyCutlist shows each line and says whether it will go as a Zoho item, as text, or needs attention.

  • Open the quote and click Send to ERP, or Send to Zoho Books in its ERP Integration card.
  • Check the list of lines. Link items takes you to the Items screen if something needs a link.
  • Click Send. If the customer is not in Zoho yet, AnyCutlist creates the contact first, then the quote.
  • The ERP Integration card shows the Zoho number. The Zoho reference carries your quote number and cutlist reference, so either side can find the other.

Purchase orders to your suppliers

Purchase orders use the same item links. On a draft order, Approve & send to ERP approves it and creates the Zoho purchase order in one step; an approved order shows Send to ERP. A line whose item was found in Zoho once is remembered for next time.

Receiving stays in AnyCutlist. Zoho sends back status only, so billing an order in Zoho never marks its goods received in the workshop.

What the integration does not do

It is better to know the edges before you rely on it.

  • A quote is sent once. Changes made in AnyCutlist after sending are not pushed to the Zoho quote, so finish reviewing first.
  • A status update from Zoho never replaces a quote's lines or totals, and it only touches documents AnyCutlist itself sent.
  • Status updates need a webhook set up in Zoho once, per event. Without it, documents still send; status just does not come back.
  • Zoho Books is the accounting system connected today. QuickBooks and Xero connectors are on the roadmap.
  • The connection is part of the Enterprise plan.

Zoho Books questions

Short answers to what workshops ask before connecting Zoho Books.

Does AnyCutlist integrate with Zoho Books?
Yes. It syncs customers and suppliers, sends quotes as Zoho quotes (estimates) and purchase orders as Zoho purchase orders with linked items, and receives accepted, declined and invoiced status back. It is part of the Enterprise plan.
Are quotes sent as Zoho estimates or quotes?
Both names mean the same Zoho document. Zoho has renamed its Estimates module to Quotes; AnyCutlist creates that document, with your quote number and cutlist reference in its reference.
Do I have to create every board and edge tape in Zoho first?
No. Link the items Zoho already has, using Accept exact matches for those with the same code or name. An Organization Admin can create missing items in Zoho Books from the Items screen, or unlinked lines can go as text.
Will Zoho overwrite my prices?
No. AnyCutlist stays in charge of prices and totals. Importing a contact updates its shared contact fields from Zoho, but AnyCutlist prices, notes and history are never overwritten.
Does it work with Zoho Books in Kenya?
Yes. AnyCutlist reads your Zoho organization's country and VAT registration, sends the customer's KRA PIN as the tax registration number when your organization is VAT-registered, and leaves out fields an unregistered organization cannot hold.
Does it support QuickBooks or Xero?
Not yet. Zoho Books is the accounting system connected today; QuickBooks and Xero connectors are on the roadmap.

Evidence note

How we checked this guide

Every button and screen named here comes from AnyCutlist's in-app Zoho Books guide, and an automated test fails if they ever differ. The example quote lines are illustrative, not a customer's job.

On 19 October 2026 we sent a quote from a demo organization to a Zoho Books trial organization based in Kenya, priced in Kenyan shillings and not VAT-registered. Its linked lines arrived as Zoho items with our descriptions, its unlinked lines arrived as text, and the totals matched.

Zoho changes its own screens and names from time to time; its help pages describe the rename of Estimates to Quotes. Where Zoho's screens differ from this guide, follow Zoho's current documentation for the Zoho side.
